Energy Program Administrative Assistant

This position supports the shared Energy Manager, who works for the Towns of Norwood, Sharon and Medfield. The person will be a Town of Norwood employee and work in the Town of Norwood.

Status:         FLSA Non-Exempt, Union, 15 hours per week

Salary:         FY27, Grade C6 $29.25 - $31.01 per hour for steps 1-3 (salary range exceeds hiring range)

General Summary: The purpose of this position is to perform senior-level secretarial and broad administrative functions supporting the work of the Energy Manager. This is achieved through the performance of complex office tasks requiring composing and typing correspondence, reports, and meeting minutes; grant writing assistance; computer data entry work; record keeping; filing; and, working directly with customers and other municipal personnel.  Serves as a primary secretary; performs all other related work as required.

Essential Job Functions: *

  • Provides primary secretarial and administrative support to the department head, including managing calendars, scheduling meetings, processing correspondence, and maintaining departmental records and files.
  • Serves as a key point of contact for the public, staff, and other departments by responding to inquiries, resolving issues, and providing information in a professional and courteous manner.
  • Maintains personnel, financial, and departmental records; prepares reports, agendas, minutes, presentations, permits, and other official documents while ensuring confidentiality and accuracy.
  • Assists with grant administration, special projects, community initiatives, and departmental programs by tracking deadlines, preparing reports, and supporting project documentation.
  • Communicates departmental policies and procedures and assists with mail distribution and deposits.
  • Supports boards, committees, and outreach activities as assigned.
  • Provides functional guidance to office staff and recommends improvements to office procedures.
  • Performs related administrative duties as required.

Minimum Requirements: *

  • High School graduation plus additional education or training in secretarial science or business administration preferred; and four years of experience in secretarial and administrative work; or any equivalent combination of education and experience. Associate’s or bachelor’s degree in public administration, Project Management, or related fields are strongly preferred.
  • Experience in grant writing and/or grant management strongly preferred
  • Experience preparing reports, presentations, or other professional written material
  • Interest or experience in Municipal energy, sustainability, or public sector programs is preferred.
